About the Department of Foreign Affairs and Trade

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, and bilateral interests.

 

About the position

Under general supervision, the Accounts Officer works against established policies and procedures to provide corporate services within the Accounts Section of the Australian Embassy.

 

The key responsibilities of the position include, but are not limited to:

  • Collect and compose data for monthly financial end-of-month reporting and maintain accurate financial records in the SAP accounting system and electronic banking system.
  • Respond to straightforward financial enquiries from outside vendors, embassy officers and other agencies in a timely manner, referring on complex queries.
  • Provide a range of corporate services on financial matters, including managing VAT exemption, maintaining all finance related documentation in the Embassy’s records management system in compliance with departmental policies and relevant legislation, and monitoring and reporting on expenditure.
  • In conjunction with the Accountant, ensure the Accounts Section meets its financial obligations, including timely payments to vendors.
  • Execute cashier functions effectively, including collection of payments, issuing receipts, banking, processing non-travel related advances and acquittals.
  • Provide a high level of service to officers travelling on official business through the preparation of movement requisitions. This includes confirming entitlements and costings, calculating and paying allowances, processing and following up on acquittals and issuing Debit Advice Notes (DANs).
  • Perform other duties as assigned by supervisor.

 

Qualifications/Experience

  • A tertiary qualification in Accounting or Finance is desirable.
  • Advanced knowledge of a Financial Management Information System such as SAP.
  • Confident in using Excel, Word and Adobe Acrobat (as well as other Microsoft Office programs).
  • Ability to work independently to set priorities and organise workloads to meet deadlines.
  • Ability to solve problems, be flexible and adapt to new tasks and situations as required.
  • Ability to communicate effectively in written and spoken English and Thai.
  • Good interpersonal skills, including the ability to cooperate well with colleagues and clients and to develop good working relationships as part of a team.
  • Exceptional attention to detail.
  • Ability to handle sensitive and personal information with confidentiality and discretion.
