About the Department of Foreign Affairs & Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, and bilateral interests.
About the position
Under limited direction, the Assistant Property Manager works to provide detailed technical and professional policy advice and a wide range of property and procurement functions.
The key responsibilities of the position include, but are not limited to:
- Support the Property and Procurement Manager in dealing with property agents, landlords and contractors, including on any rectification works during the lease tenure of Australian diplomatic staff and assist with the property leasing process.
- Manage the preparation of leased estate for handover/takeover, including settling in/out of accommodation, preparing handover/takeover documentation for incoming and outgoing tenants, including inspection, inventory and condition of accommodation.
- Manage short-term accommodation for Australian diplomatic staff and language trainees, including organising financial and funding approvals.
- Manage the supply of services and related accounting administration for telephones, utilities and related services to owned and leased premises including data entry for payment processing in SAP.
- Assist with solving complex issues related to property matters and act as the Property and Procurement Manager during absences.
- Coordinate property related payments, including rental, utilities, newspaper subscription for A-based residences and Chancery (Bangkok and Phuket) and drinking water A-based residence.
- Support the property team with managing procurement functions and import/export of personal effects and official consignments.
- Provide support to Phuket post for ongoing property related matters and services and support the broader Embassy with other duties as directed, including other work units in the Corporate Team
Qualifications/Experience
- Experienced in residential property management with strong leadership skills in working with different teams and stakeholder to achieve outcomes.
- Highly desirable to have qualifications in accounting and business administration or in the field of hotel or leasing management with business administration experience.
- Highly desirable to have experience in customer service in real estate or hospitality industry as part of the role is assisting tenants with on boarding into their accommodation.
- Demonstrated experience as a procurement officer and with experience in contract management covering review and contract reporting to ensure compliance with relevant laws, policies, guidelines and procedures is desirable.
- Good spoken and written Thai and English skills.
- Excellent communication and people skills with ability to engage different stakeholders to deliver desired outcomes with strong customer and vendor management skills.
- High level of attention to detail with multitasking capability and ability to work independently to deliver outcomes.
- Must be a highly professional, ethical, and proactive team player who can contribute to team goals
